Recepticall is a trading name operated as a sole trader in the United Kingdom. This policy explains what personal data we collect, why we collect it, how long we keep it, and what your rights are.

Recepticall provides AI receptionist services to aesthetic clinics and dental practices. We are based in the United Kingdom and operate under UK GDPR and the Data Protection Act 2018.
When you visit recepticall.com, we collect anonymised analytics data including pages visited, time on page, and general geographic region. We use a privacy-first analytics platform that does not use cookies, does not track individuals across sessions, and is fully GDPR-compliant. No personal data is collected from visitors who browse the site without filling in a form or making a booking.
When you book a discovery call via the booking widget on our site, we collect your name, email address, and the date and time of your booking. We use this to prepare for your call and to send you a confirmation email. This data is stored in our client management system. The booking platform processes the request on our behalf as a data processor.
Payments are processed by a PCI-DSS compliant payment provider. We do not store your card details. When a payment is made, we receive confirmation of the amount paid and the email address associated with the transaction. This is stored in our client management system to maintain your client record.
If your clinic uses Recepticall's AI receptionist service, inbound calls are handled by our voice agent platform and processed by our infrastructure provider on our behalf. Call transcripts and outcome data are logged to our secure call database for operational and quality purposes. Callers are not individually identified unless they provide their name and contact details during the call as part of a booking request.
Call data is retained for 12 months and then permanently deleted. We do not sell call data to any third party.
If you contact us at hello@recepticall.com, we retain your email address and the content of your message in order to respond and maintain a record of our correspondence. Transactional notification emails are sent via our email delivery provider acting as a data processor.
We process personal data on the following legal bases under UK GDPR:
We use the following categories of third-party services that process personal data on our behalf. Each operates under a data processing agreement and is bound by their own privacy and security obligations.
If you wish to know the specific provider in any category, email hello@recepticall.com. We will provide the information within 30 days as part of a subject access request.
Under UK GDPR you have the right to access, correct, delete, or port your personal data, and to object to or restrict its processing. To exercise any of these rights, email hello@recepticall.com. We will respond within 30 days.
If you are not satisfied with our response, you may complain to the Information Commissioner's Office at ico.org.uk.
