These terms govern your use of Recepticall's AI receptionist services. By purchasing an audit, build, or retainer, you agree to these terms. Please read them before proceeding.
Recepticall is a trading name operated as a sole trader in the United Kingdom. References to "we," "us," or "Recepticall" throughout these terms refer to that entity. References to "you" or "the client" refer to the clinic, practice, or individual purchasing our services.
Recepticall provides AI-powered voice receptionist services for aesthetic clinics and dental practices. Our services include:
The audit fee is £600 exclusive of VAT. It is payable in full before the audit begins. The audit fee is credited in full toward your build cost if you proceed. If you choose not to proceed after the audit, the fee is non-refundable. The audit deliverable is yours to keep regardless of whether you proceed.
Build fees range from £2,500 to £5,000 exclusive of VAT depending on scope. Payment is split equally: 50% is due on the date the agreement is signed and work commences, and 50% is due on the date the system goes live. Work begins on receipt of the initial payment. The audit fee paid previously is deducted from the first payment.
The monthly retainer ranges from £500 to £1,200 exclusive of VAT and is agreed in writing before go-live. It is charged monthly by direct debit or Stripe subscription starting on the go-live date. Annual contracts are available at a 15% discount and are billed quarterly or annually in advance.
Retainer payments are non-refundable once the month has commenced. If you cancel mid-month, the remainder of that month is not credited.
You may cancel the monthly retainer at any time with 30 days written notice sent to hello@recepticall.com. No cancellation penalty applies. Annual contract subscribers may cancel at the end of their contract term. Early termination of an annual contract does not entitle you to a refund of unused months.
We may terminate the retainer immediately if payment is more than 14 days overdue or if you breach these terms in a material way.
Standard build time is 10 to 15 working days from receipt of the initial payment and the information required from you to configure the system. This includes your clinic details, services, pricing, and access to your practice management system for integration.
Timelines are estimates. Delays caused by your failure to provide required information in a timely manner, or by your practice management software provider, are not our responsibility. We will notify you as soon as a delay is identified and agree a revised timeline with you.

Our AI receptionist is designed to handle routine appointment enquiries, FAQs, and bookings. It is not designed to provide medical advice, clinical guidance, or emergency support. The agent is trained to escalate or take a message when a query falls outside its configured scope.
We do not guarantee that the AI will handle every call perfectly. Transcription accuracy, call quality, and edge-case handling can vary. We monitor performance and improve the agent continuously under your retainer, but we cannot warrant 100% accuracy on all calls at all times.
You remain responsible for your clinic's patient communications. Recepticall is a tool that assists your reception function. It does not replace your professional and legal obligations to patients.
The AI agent configurations, prompt structures, and integration code we build for your clinic remain our intellectual property. You receive a licence to use them for the duration of your retainer. If the retainer ends, we retain the right to use the underlying methodology and code structure for other clients, but we will not reuse your specific clinic data, pricing, or branding.
Your clinic name, branding, service descriptions, and pricing information remain your property at all times.
Our total liability to you for any claim arising from our services is limited to the fees paid in the three months preceding the claim. We are not liable for indirect or consequential losses including lost revenue, lost bookings, or reputational damage arising from the AI agent's performance or any service interruption.
We are not liable for downtime or failures caused by third-party infrastructure providers including Retell AI, Cloudflare, Twilio, or your practice management software provider.
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these terms from time to time. We will notify active clients by email at least 30 days before any material changes take effect. Continued use of our services after the notice period constitutes acceptance of the updated terms.
